A big wedding industry buzz word you might hear when starting to plan is "Day-Of" Coordinator. This is marketed towards the couple who doesn't necessarily need the help of a "Full Planner." This couple is probably one you would think of as "DIY" savvy, they may have lots of craft help, maybe they already have a venue or vendors lined up ... yet, this couple is also aware enough to know that there is A LOT that goes into actually making that day happen, behind the scenes. This is where a Coordinator comes in.
I firmly believe - you can't star and direct your own day! I use this analogy a lot talking with folks. Maybe it comes from my days growing up performing on stage and my love of theater, or maybe because it seems to instantly make sense for people - "well, yeah - of course you can't. You can't be two (or sometimes twenty places) at once."
So, what's the Myth, you ask? "These coordinators show up that day and... handle it, right?"
Well yes, but how? How do they magically show up that day and seem to know all the details and all the vendors' plans? How do they know all the bridal parties' names and which groomsmen is probably going to be late. How do they know that the bride's grandfather needs to have a place to sit during pictures?
Here is how a coordinator knows - they spend a lot of time getting ready! I have never met a coordinator who works just "Day-Of."
For our Southern Touch Team - we like the term "wedding management". When you book with us to do coordination, we're in your corner with unlimited phone and email contact from Day 1. Got a problem? Need advice on what to ask your florist? Don't understand something on a venue contract? You can call us, send an email, and we'll help. When you become a Southern Touch Couple, it doesn't matter if we're coordinating or doing a full planning package - we want our couples to be confident in one thing above all else - we are here for you!
We're also going to meet with you at least twice in person to plan out details and go over timeline - one of these meetings is usually a site visit, if possible. We're going to plan out logistics and create your timeline so it flows. We want to make sure it fits your needs, meets your vendor contracts (so there are no surprise fees from them afterwards) and make sure you, your bridal party, your family, and a room full of guests are having the best time possible! We're also going to tell you to turn off your phone a month out! We will take over vendor contact, share timelines with your family and bridal party and handle any, "Wait - what time do I need to be there?" questions that come up!
Finally, we get to the "Day-Of" part. We're going to handle the rehearsal the day before and we'll be there every step of the way on your big day to make sure every detail is executed just the way you want it.
So when you hear the term "Day-Of Coordination or "Month- Of Coordination", don't let that distort your perception of what you're getting when you hire a coordinator. You're getting someone who is going to work for a lot longer than one day to make sure you remember your day. They are going to do everything within their power to make sure you are truly present for EVERY. SINGLE. MOMENT. That your friends and family get to be present with you. That you get to bask in all the love and joy surrounding you on your wedding day.
Your moments should be full of hugs, kisses, dances and laughter. Not if the caterer needs anything, or if the photographer got all the shots they planned, or if the venue has the A/C cranked down, and if the DJ has been queued to announce the cake cutting.
At Southern Touch, making sure you don't have to worry about these moments - that's why we do it.
Does every couple need at least a coordinator? YES. YES and YES. You are spending a lot of money on this day. A day that you don't get a "do-over" on. Have someone there who is looking out for you, who is going to protect and guard your dreams of this day. Have someone who is going to do everything they can to make this YOUR perfect day that you remember forever.
I always love to talk weddings - send me an email!
